ID Scanning

How does it work?
The kiosk will scan the ID, extracting the name, address, signature, date of birth, expiry date and photo. The date of birth will be used to determine if the patron is over the age of 18 and the expiry date to check that the ID is not expired. For venues with facial recognition enabled, the photo on the ID will be used for a facial comparison. Once completed, the date of birth, expiry date, and photo will be deleted and the only data stored is the name, address and signature as required by the Registered Clubs Act.
How long does it take to scan an ID?
Physical IDs take under 1 second to scan, whilst digital IDs depending on the type can usually take up to 5 seconds.
What happens if an expired ID is scanned?
The kiosk will display an error message, requiring a staff PIN to unlock. The staff member can choose to approve or deny the entry. Note that the Liquor Act requires patrons under the age of 25 to have a current ID.
What happens if an ID without an address or signature is scanned (e.g., a passport)?
The patron will be prompted to enter their address and/or signature manually.

Data Hosting & Security

How do you secure my venue's data?
Your venue's data is hosted on Google Cloud infrastructure in New South Wales. All data is encrypted in transit and at rest. Google Cloud is compliant with major international cyber security standards and is subject to regular, independent audits.
What data is stored in the cloud?
We only store the minimum data required by the Registered Clubs Act. This is the name, address, and signature for each visitor entry, as well as the timestamp alongside these. Self-exclusions & bans that are recorded in the kiosk are also stored in the cloud in order to sync between kiosks.
How long is the data stored for?
Sign-in data is stored for 3 years as required by the Registered Clubs Act. After this time, the data is deleted.

Facial Recognition

How does it work?
After scanning a patron's ID, a prompt will appear asking the customer if they agree to scan their face and match it against their ID. If they click yes, the face scan will begin and usually takes less than 1 second to scan and determine the outcome. If the face matches (and the customer meets all other entry requirements) the entry will be registered and a tick will display on the screen. If they click no, the entry will be flagged for manual review by a staff member, it is up to the discretion of the venue whether to refuse entry based on this. The kiosk will be locked and require a PIN in order to approve/deny entry to the patron.
Can we disable this feature?
Yes, we can disable the facial recognition check for all patrons, or for patrons over 25 (lower risk).
What happens if a patron does not want to scan their face?
A patron can click no when asking if they agree to the facial recognition matching. If they click no, the entry will be flagged for manual review by a staff member, it is up to the discretion of the venue whether to refuse entry based on this. The kiosk will be locked and require a PIN in order to approve/deny entry to the patron.

Digital IDs

My venue is concerned about easy to fake digital IDs - how are they verifiable?
We share your concern about fake IDs, which is why we only support digital IDs that meet the highly secure ISO 18013-5 international standard. These IDs are protected by a unique digital signature, allowing our system to instantly verify that the ID is genuine and that no information has been tampered with. This is the same level of security technology found inside the chips of biometric passports, trusted by governments worldwide.
Which digital IDs do you support?
We currently support any digital IDs (mobile driver licences/identity cards) issued under the ISO 18013-5 standard. These are: Queensland, California, New York, Ohio, Georgia, Virginia, Arizona, Maryland, Colorado, Utah, Puerto Rico, Iowa, New Mexico, Hawaii, Alaska. All Australian states and territories and New Zealand are working with Austroads to release a digital driver licence/proof of age card which is compatible with the international standard by 2026. As these are released we will support them.
Which digital IDs are allowed under the legislation in New South Wales?
Persons aged under 25: only a digital driver licence or digital proof of age card issued by an Australian state or territory are allowed under the definition of an "evidence of age document" in the Liquor Act. Persons aged 25 and over: a digital driver licence or digital proof of age card issued by any Australian or foreign jurisdiction would be considered acceptable to meet the requirements of the Registered Clubs Act and the AML/CTF Act. The kiosk will reject entry and notify a staff member if a person aged under 25 uses a digital ID issued outside of Australia.

Membership System Integration

Which membership systems do you integrate with?
We are able to integrate with most major membership providers, please let us know your membership system when you contact us and we will coordinate the integration with your provider.
How does the member join process work?
1. The patron will scan their ID 2. The ID will be validated and the patron will be prompted to scan their face (if enabled) 3. The patron will then be prompted for their email and phone number 4. The patron will be prompted to read and agree to the terms & conditions set by your venue 5. If successful, the patron will be added to your venue's member database 6. An email will be sent to a designated email address from your venue containing the new member's details (optional)

Self-Exclusions & Bans

What happens when a banned or self-excluded patron tries to sign in?
We match the name from the ID with your venue's self-exclusion and ban list. If there is a match, the kiosk will display a message asking the patron to see a member of staff. The staff member can look-up the patron's record and for instances of a gaming areas only self-exclusion, the staff member can enter a PIN to approve entry.
How does the MVSE upload work?
If your venue uses MVSE as part of your self-exclusion scheme, we will provide an inbox where you can send a PDF copy of your MVSE reports. Upon sending to this email, your MVSE report will be automatically parsed and we will check the records against your self-exclusions recorded with VenueScan. If there are any new or missing self-exclusions they will be added to your database. Our integration does not delete any old self-exclusions as these should automatically expire when they reach their expiry date. You will get an automated reply a few minutes after sending the email to all emails registered for your venue listing the names that have been added to your database with our integration. Only registered emails with your venue will be able to send MVSE reports to this inbox.

Other

Do you print dockets when a visitor signs in?
By default we do not offer a receipt printing option, as the Registered Clubs Act does not require you to print dockets/confirmation of a visitor sign-in. However, if this is something which your venue would like we can connect to an existing docket printer that belongs to your venue.
Can you transfer data from a previous sign-in provider?
Yes, we can help you transfer your data such as sign-in records or ban & self-exclusion lists from a previous sign-in provider - free of charge!
Will we be able to export our venue's data?
Yes, we can provide you with an export of your venue's sign-in records or ban & self-exclusion lists in your desired format by contacting our support. Alternatively, you can arrange for a recurring scheduled export to be sent to you for your own back-ups.
Do you offer your kiosks for venues outside of NSW?
Yes, we can offer your kiosks for venues outside of NSW, however this may incur an installation fee. Please contact us for a quote of this fee.
